Desktop appEmail, chat, calendar and business tools — indexed locally

Your company's memory
shouldn't fit in
one person's head.

Zenntro is a desktop app that indexes the tools you work in every day — email, chat, calendar, CRM, invoicing — on your own computer, and keeps a living record of every client: who really decides, what you have promised, and whether the relationship is at risk.

Today that context is scattered between tools — and mostly held in the head of whoever owns the account. When that person leaves, it leaves with them. Zenntro collects it, looks after it and hands it back when you need it.

The 3 questions nobody can answer

The information exists.
The problem is that it lives in silos.

Email, CRM, Slack, Notion, calendar. Each tool knows a part and none knows the whole. And the context that matters most is in none of them: it is in the head of whoever owns the account.

  1. What exactly did we promise them?

The commitment was made in an email back in March, in a thread nobody remembers. Zenntro extracts it, warns you when it comes due and leaves the follow-up ready to send.

    Answered byCommitments radar
  2. Why did we decide this?

We raised the price. We stopped working with that supplier. The what sometimes ends up in the CRM; the why never does. Zenntro captures the decision, who made it and which alternatives were ruled out.

    Answered byDecision memory
  3. Laura is leaving. What happens to her 12 accounts?

Her context, her history and her open deals disappear with her. Zenntro generates a handover dossier for every client she owned: commitments, decision-makers and next steps.

    Answered byHandover dossier

Three questions, three concrete answers. The rest of the product exists so that these three never go unanswered.

How it works

Three steps. Zero migration.

It replaces nothing in your current stack. It runs alongside what you already use and builds your company's memory automatically. Account on the web, work in the app.

Installed in 5 minutes. Indispensable in 30 days.

  1. Create your account

Sign up at dashboard.zenntro.com in two minutes, no credit card. Your organisation and owner profile are ready instantly.

  2. Install the app

Download Zenntro for your computer. Your session is already recognised, so there is no second login. The relationship map builds itself as you index.

  3. Connect your sources

Link whatever you use from the app: email (IMAP or OAuth), chat, calendar, CRM, invoicing. Indexing happens in your local Hub: years of context in one place, with nothing to migrate.

  4. Curate, ask and act

Confirm the curated state of each client, then search, chat and run suggested actions from the app. Answers are cited from your real data. On Pro the AI runs on your own server: nothing leaves.

Product

Capture the memory
no single tool of yours holds.

Four capabilities do the heavy lifting: the living state of each client, the suggested action, the commitments radar and the handover when someone leaves. They draw on all of your sources at once, not just the CRM.

  • Curated client state

    Intelligence that originates in Zenntro.

The real decision-maker, health, risk, commitments and context: information that exists in no single tool, because it cuts across email, chat, calendar, CRM and invoicing. Zenntro proposes, you confirm with one click. No empty forms.

Free: the deterministic layer (decision-maker, health, risk, links) with no API key. Pro: LLM enrichment for commitments and inferred context.

  • Action Engine

It spots what to do. You approve.

When a client slips into risk, a commitment is open or you are three emails into silence, Zenntro suggests the action and prepares the draft. Nothing is sent without your confirmation.

Drafts land in your Drafts folder over IMAP, and suggested tasks in Jira or Linear.

  • Commitments radar

    No commitment slips through.

Zenntro extracts what you promised and when from your communications, links it to the client and warns you before it comes due. Commitments stop depending on someone remembering.

  • Handover dossier

If someone leaves, you keep the account.

One document per client with decision-makers, open commitments, decision history and next steps. Turnover stops meaning memory loss.

  • Decision memory

    The why behind every decision.

“We raised the price”, “we stopped working with that supplier”. The what sometimes survives; the why almost never. Zenntro detects decisions in your communications and builds a searchable history: what, who, when, why and which alternatives were ruled out.

  • Daily digests

    Your operational briefing every morning.

Each morning Zenntro reviews the last 24 hours across every source and produces a priority report: what needs attention, what changed and what is at risk.

  • Risk with a cause · deterministic

Risk with a cause, not just an alert.

Zenntro calculates health and risk from verifiable rules: days without contact, unanswered emails and signals from the relationship map. And it explains why — “at risk because there has been no reply for 18 days”. No external AI.

It feeds the Action Engine as soon as the condition is met.

  • Universal email

Connect any email, not just Gmail.

Outlook, Fastmail, iCloud, ProtonMail, your own corporate servers: Zenntro works with any provider over IMAP, without asking Google for special permissions.

  • Full sovereignty

Download your memory whenever you want.

Your history is yours. From the owner panel you can download a complete, encrypted clone of your entire operational memory. Switch provider, archive it, or simply rest easy knowing nothing ties you down.

Re-importable into any Zenntro instance, or keep it as a permanent backup. Available from Pro.

Company memory, not team surveillance: these features measure business entities (accounts, decisions, commitments), never individual performance. Anything private is never extracted.

And to find it again: three search modes.

All three included on every plan, with nothing to configure and no key to enter.

  • <5ms

    Search without AI

Find any email, meeting or deal instantly, without waiting on an external service.

  • autoDefault

    Auto

Runs instant search and intelligence in parallel. The most relevant results win, wherever they come from.

  • ~400ms

    Search with AI

Understands the meaning of what you are looking for, not just the words. Finds answers even when you cannot recall the exact term.

The fastest search is the one that does not pull you out of your flow. That is why instant mode is not a degraded tier: for most queries it is the better one.

Privacy and control

Company memory.
Not team surveillance.

Here is the full table of which data lives where, on every plan. It is the question your DPO asks, and the one that decides whether your works council approves the tool.

Privacy 2.0 · three layers

Who controls what, and where.

  1. Layer 0 · Platform

    Zenntro defaults

Infrastructure domains (Stripe, OAuth, notifications) are never indexed. Read-only for the organisation and the user. Enforced on every sync.

  2. Layer 1 · Organisation

    Org-wide policy

The admin or owner sets filters, domain blacklists and GDPR categories from the Dashboard, with no access to any individual employee's content.

  3. Layer 2 · User

    Employee control

Pause indexing, set personal exclusions and choose granular redaction, mirrored between the app and the web. The owner cannot override an employee's private settings.

  • Separation of powers, owner and employee

Every employee can pause their own indexing, exclude domains and choose a redaction level (full, metadata only, or PII redacted) without going through the admin. The owner sees aggregates, never individual detail.

  • DSAR audit and dry-run in the app

“What does Zenntro know about me”: a list of indexed events and attributes, selective deletion, a pre-ingest simulation and a log of what was blocked. In the app only; the Dashboard mirrors the toggles, never the content.

  • You choose where the AI runs

Indexing and AI search always run on your machine, on every plan. If you enable chat on Free, your question and its context snippets go to a European provider with zero retention — and only if you turn it on. On Pro, chat AI runs on your own server: not even your questions leave.

  • Ledger and works-council dossier

An append-only record of privacy decisions, plus one-click export of your aggregate posture and a dossier for a DPO or works council. Available on Enterprise.

Who Zenntro is for

Consultancies that need context.
Teams that need compliance.

Same product, different reasons to buy. In neither case does your data leave your company.

  • Consultancies and agencies

Scattered context, stalled deals, team turnover

The curated state of every client lives in the head of whoever is leaving. Zenntro captures it passively — decision-maker, health, commitments — and suggests the next step without anyone filling in the CRM.

    • Nobody has to fill in the CRM for it to work
    • Runs alongside your current stack; replaces nothing
    • When someone leaves, the account is not left blind
    • Works with whatever email you already use
  • Regulated teams · EU

Works councils, DPOs, employees who distrust the cloud

Privacy 2.0 is not a legal paragraph, it is architecture: separation of powers, an auditable ledger and a works-council dossier. Operational content never passes through the cloud Dashboard.

    • A written answer to "what data leaves, and to where"
    • The employee controls their own indexing, not the admin
    • DPO and works-council dossier, exportable in one click
    • A managed option in Europe if you would rather not run infra

Frequently asked questions

What people ask before installing.

What is Zenntro?

Zenntro is a desktop app that captures a company's operational memory. It indexes the tools you already work in — email, chat, calendar, CRM, invoicing — on your own computer, and builds a living record of every client: who really decides, what you have promised, why decisions were made and whether the relationship is at risk. Your data does not leave your infrastructure on any plan.

Where is my data stored?

On your own machine, or on your own server. Zenntro indexes into a local Hub, and operational data — emails, the relationship map, curated context — never passes through Zenntro's servers, not even on the free plan. The only thing we handle in the cloud is account metadata: plan, billing and devices.

Does AI search cost anything, or have limits?

No. AI search is free and unlimited on every plan, because it is indexed and executed on your own machine, with no API key and without sending text to any external service. Conversational chat does have a limit of 50 questions a month on the free plan; on Pro it runs on your own server with no limit.

Can this be used to monitor my team?

No, and it is designed so that it cannot be. Zenntro measures business entities — accounts, decisions, commitments — never individual performance. Each employee can pause their own indexing, exclude domains and choose a redaction level without going through the admin, and the owner only ever sees aggregate data, never which items a specific person excluded.

Which sources does it connect to?

Four families of source. Communication: email over IMAP or OAuth (Gmail, Outlook, Fastmail, iCloud, ProtonMail or your own server) and Slack. Scheduling: Google Calendar and Microsoft 365. Business: a CRM such as HubSpot or Pipedrive. And notes and documents through Notion. Invoicing tools are on the roadmap. Because it works over IMAP you do not need special Google permissions or their CASA audit.

How much does Zenntro cost?

The free plan costs nothing and includes 1 user, 2 sources and 90 days of memory. Pro is 199 euro per month per organisation — not per user — with 15 users included, 25 sources, unlimited history and AI on your own server, and it comes with two months free if you pay annually. Enterprise and Pro Cloud are quoted to fit.

Can I take my memory with me if I leave?

Yes. From the owner panel you can download a complete, encrypted clone of your entire operational memory: indexed emails, calendar events, relationships and curated context. It can be re-imported into any Zenntro instance or kept as a backup. There is no lock-in.

How long does installation take?

About five minutes. You create the account in the Dashboard, download the app — your session is already recognised — and connect your sources. Indexing years of history happens locally and requires no migration of your current stack.
